A body shop runs on two kinds of paperwork. The insurance estimate lives in the estimating platform your insurers use. Everything else is office work: the repair order, the damage photos, the parts and materials, the customer’s history and the invoice. That is what body shop management software is for.
This guide covers what a Canadian body shop should look for in management software, where it ends and the estimating platform begins, and what free options can and can’t do.

The short version
- Management software runs the office side; insurance estimates stay in your insurers’ estimating platform.
- Look for photo documentation you can show the customer, before and after the repair.
- Body work burns parts and materials: track them per job or you won’t know your real margin.
- Make sure invoices show your province’s taxes (GST/HST, PST or QST) the way your customers expect.
- Test it on a real damaged car, from intake photos to the final invoice.
Why a body shop needs different software
The basic flow is the same: customer, vehicle, estimate, approval, work, invoice. What changes is the weight of each step. Collision jobs stay in the shop for days or weeks, every job starts with damage that has to be documented, materials walk out the door if nobody counts them, and part of the work is paid by an insurer under its own rules.
What to look for in body shop management software
Repair orders and estimates for customer-pay work
Not every job goes through an insurer. For customer-pay work, small repairs and add-ons, you want to write the estimate and the repair order fast, from the shop floor, and send the estimate to the customer as a PDF by WhatsApp, iMessage or email.
Photo documentation of the damage
Photos at intake protect you at delivery. Shoot every dent, scratch and cracked panel before work starts, and the after photos when it’s done. In Garage, Essential includes 6 GB of photo storage and Premium 16 GB; on Premium, the technical report combines photos, descriptions and notes on the vehicle’s condition into one PDF for the customer.
A vehicle history you can pull up
Body shops see repeat vehicles too. Find the vehicle by customer name, phone number, licence plate or VIN to see what was done last time without re-entering anything. On Premium, the VIN scanner reads the barcode and fills in the vehicle details.
Scheduling that keeps cars moving
Cars waiting on parts, on the paint booth or on an insurer’s approval tie up space. A shop schedule you can see at a glance shows what is booked and when the next car can come in. In Garage, shop scheduling is part of Premium.
Parts and materials
Body parts are expensive and paint supplies disappear. On Premium, Garage includes inventory and cost and profit analytics, so you can follow your parts stock and see your costs and profit.
Invoices with your province’s taxes
Garage comes with your province’s taxes already set up (GST/HST, PST, or GST and QST in Quebec). You can add and edit as many taxes and fees as you need, each with its own label, and mark parts or services as non-taxable. Set it up once, and every invoice prints the same way.
Where management software ends
Here is the honest line. If you write insurance estimates, you almost certainly do it in the estimating platform your insurers work with, because that is how claims and supplements move between the shop and the insurer. Management software does not replace it.
What management software does is everything around that estimate: the customer file, the vehicle history, the photos, the customer-pay work, the parts, the schedule and the final invoice. Many body shops run both, one for the insurer and one for the shop.
Free body shop software: what it can and can’t do
Free options exist: free plans with limits, open-source projects and a spreadsheet with a photo folder. For a shop with a handful of jobs a month, they can be enough. They stop working when you need to find a car’s photos from last spring in a minute, or when more than one person writes repair orders. Before you rely on any of them, check that you can export your data and that it handles your province’s taxes. More in our guide to free auto repair shop software in Canada.
Where Garage fits
- Essential, $53 CAD/month: one user, up to 100 repair orders a month, estimates, 6 GB of photo storage, email support.
- Premium (see the current price): up to 7 users, unlimited repair orders, technical reports with photos, the VIN scanner, shop scheduling, inventory, cost and profit analytics, 16 GB of photos, and live chat, text and email support.
- Which plan: a one-person shop doing customer-pay work can start on Essential; if several people write repair orders, or you want scheduling, inventory and photo reports, Premium is the fit. During the 7-day trial every feature is unlocked, including Premium, so you can try both before you choose.
- What it doesn’t do: insurer estimating or integration with estimating systems, paint or labour-time databases, or parts procurement from suppliers. A direct QuickBooks integration is in development; for now, export your reports as CSV.

Frequently asked questions
Is body shop management software the same as an insurance estimating platform?
No. Insurance estimates are usually written in the estimating platform your insurers work with. Management software runs the office side: repair orders, customer and vehicle history, photos, parts, invoices and reports. Many body shops use both.
Can I photograph the damage in the software?
Yes. Essential includes 6 GB of photo storage and Premium 16 GB. On Premium, the technical report puts photos, descriptions and notes on the vehicle’s condition into one PDF you can hand to the customer.
Does it track parts and paint materials?
On Premium, Garage includes inventory and cost and profit analytics. Paint and shop supplies are often used by weight or volume, so run one real job through it during the trial and check that it tracks materials the way you buy them.
Is there free body shop management software?
There are free plans with limits, open-source projects and spreadsheets. They can work for a shop with a handful of jobs a month; check that you can export your data before you rely on it.
Can I use Garage in French?
Yes. Garage runs in English or French. Your shop’s administrator sets the language, and it applies to the whole shop.
Is there a contract?
No. Garage is month to month, from $53 CAD/month, with a 7-day free trial and no credit card.
