The repair order is the one document every shop already has. It is on a clipboard, a triplicate pad, or a Word file somebody made in 2014. It works. What it does not do is remember: the third time the same Camry comes in, the history is in a drawer, the authorization is a signature on a carbon copy, and the invoice is the RO typed a second time.

What is repair order software?

Repair order software (also searched as automotive repair order software) is a program that creates, authorizes, tracks and closes the repair order digitally, and files it under the vehicle it was written for. The last part is the definition’s weight-bearing wall. Anyone can make a PDF that looks like an RO; the value is that the next RO for that vehicle starts with the history of the last one.

In practice it lives inside shop management software rather than as a separate product, because the RO touches everything: the customer, the vehicle, the estimate, the parts, the technician, the invoice. Buying “just repair orders” usually means buying an invoicing app with a vehicle field, which is the wrong end of the problem. What changes when the repair order goes digital

Opening it: the VIN does the typing

On paper, the first two minutes of every RO are the customer’s name, phone, and the vehicle’s year, make, model and VIN, copied from the door jamb. In software you type or scan the VIN and the vehicle fills itself in. If the car has been in before, the plate or VIN pulls up the customer and every previous visit. Two minutes become a few seconds, and the VIN is right, which matters more than the two minutes.

Authorizing it: the signature on the screen

The customer’s authorization is the part of the RO that protects the shop. On paper it is a signature on a carbon copy that lives in a box. In Garage the customer signs on the screen when they approve the estimate, and can sign again at closing; the signature is attached to that RO, so the authorization and the job never separate. It is a captured signature attached to the document, not a certified e-signature. For most shops that is all an authorization needs; if your state has written-authorization rules, check them.

Adding to it: approvals you can find later

The tech finds a leaking valve cover gasket while doing the brakes. The customer says yes on the phone. Six weeks later the customer’s spouse says nobody approved that. On paper, the approval is a note in the margin, if it is anywhere. In software, the addition is its own line on the RO, and the updated RO the customer opens on their phone shows it. The estimate-versus-final-bill argument mostly disappears when the additions are visible.

Closing it: the invoice is the RO, finished

This is where paper costs the most time. The finished RO gets retyped into whatever prints the invoice, and the sales tax, shop fee and totals get calculated again by hand. The value that accumulates. Every RO is filed under the vehicle, so the next visit starts with what was done, what was recommended, and what was quoted. A customer who calls asking what you did in March gets an answer while they are still on the phone.

Features that matter for a one- to three-bay shop, and the ones that don’t yet

Software demos are built around the features that impress, which are rarely the ones that save a small shop time. In order of how often they actually get used:

• Matters now: VIN and plate lookup with history, the estimate the customer can open on their phone, a signature on the screen, additions as their own lines, the invoice from the RO, and the whole thing working on a phone in the bay.
• Matters when there are two of you: a second login with its own permissions, and scheduling (both on Premium).

Repair order, work order, or invoice?

Same job, three moments. The repair order (or work order; the terms are interchangeable in most shops) is opened at drop-off and authorized by the customer. It is worked on through the job. When the job closes it becomes the invoice, with final parts, labor, tax and fees. Software’s contribution is that these are one document changing state, not three documents typed three times.
