What an auto repair invoice must include

The full invoice has every one of these fields, because each one has settled an argument somewhere. The one-page and receipt forms keep the ones that fit on a page:

  • Shop identification. Name, address, phone, email. If your state issues a repair shop license or registration number, put it in the header too; some states require it on customer documents.
  • Invoice number and date. Sequential numbers, no gaps. Your accountant will ask, and so will a customer disputing a charge.
  • The customer. Name, phone, email, and the address for fleet or business accounts that pay on terms.
  • The vehicle. Year, make, model, VIN, license plate and mileage in and out. The mileage protects the shop on warranty and gives the customer a dated mileage record.
  • Labor, as lines. What was done, hours, rate, amount. Customers accept hours and a rate; they argue with a lump sum.
  • Parts, as lines. Description, part number where you have it, quantity, unit price, amount. Mark parts the customer supplied.
  • Sublet, shop supplies and fees. Their own lines, never folded into labor. See shop supply fees explained for how to present them.
  • Subtotal, sales tax, total, paid, balance. In that order. The balance line is the one that gets missed, and it is the one that tells you who still owes you at month end.
  • Payment and warranty. How they paid and the reference, and the warranty on parts and labor in months and miles.
  • Signature. The customer’s acknowledgment that the vehicle and the work were received as described.

How to itemize parts and labor

Labor lines

One line per operation, in words the customer understands: “Replace front brake pads and rotors, 1.8 hrs” rather than an op code. If you bill flat rate, the hours are the book time, and it is fine to say so. If you bill by the clock, the hours are the clock. Either way the rate is on the line, because the customer will do the math.

Parts lines

Description, part number, quantity, unit price, amount. Group parts under the labor operation they belong to if the invoice runs long; it lets the customer see that the $180 of parts and the 1.8 hours are the same job. Customer-supplied parts get their own line at $0.00 with a note, so the warranty terms are clear.

Tax, fees and the order of the totals

Parts, labor, sublet, shop supplies, then subtotal, then sales tax, then total. Whether labor is taxable is a state question; the invoice form should have a place for the answer, not make the decision. Shop supply fees are their own line with a plain label. Hiding them in labor is the fastest way to a one-star review.

Mobile mechanics and one-person shops don’t need two pages. The one-page version has the same bones: customer, vehicle with VIN or plate, one parts-and-labor table, totals with sales tax, payment and a warranty line, plus a notes box for what to watch before the next visit. An invoice asks for money; a receipt proves it was paid. Most shops write “PAID” across the invoice and call it a receipt, which works until the customer needs a clean document for a warranty claim, an insurance reimbursement or an employer. Paper invoice or software?

The forms above are as good as any software’s default, and for a shop that writes a few invoices a day they will do for a long time. The limit is the same as every paper record: the invoice does not know the car. The third time the same Silverado comes in, the VIN gets typed a third time, the tax gets calculated a third time, and last year’s invoice is in a folder somewhere. What should an auto repair invoice include?

What is the difference between a mechanic invoice and a repair order?

The repair order is written before and during the job: what the customer approved and what the shop will do. The invoice is the same document finished, with final parts, labor, tax and fees. In software they are one document; on paper they are two, and the invoice gets retyped.

Should I charge sales tax on labor or just on parts?

It depends on your state. Some states tax parts only, some tax labor too, and some treat repair labor differently from installation. Ask your accountant or your state’s department of revenue, then set the rule once in whatever produces your invoices.

Do I need the VIN on every invoice?

Put all 17 characters on every invoice. It ties the work to one vehicle, a warranty or insurance claim will ask for it, and it is how you find the history when the car comes back. The last eight are fine for your own lookup, not for the customer copy.
